Acknowledge - This is an optional state for a request. Some libraries prefer to mark requests this way to allow filtering on the status and avoid creating a list of new requests that include Ill's that have already been reviewed.

Actions - In NRE, these change the status of a request from one processing state to another. Actions are determined by the request's material type, service type and the current status of the request. A "returned" action sets a request to the "shipped" status on the responder's system. Actions can trigger the alerts to users, such as an e-mail to let the person know an item is ready for pickup.

ADPU - An Application Protocol Data Unit that conforms to standard messages exchanged between Inter-library loan system application layer protocols. The ISO 10161 protocol defines the messages that are interpreted between ISO 10161 compliant Inter-library loan systems.

ANY Attribute - A simple, single criteria Z39.50 search. The database provider as the most representative field chooses the single attribute; therefore, it can vary from one database source to a different one. Any attributes not supported by all targets are removed from display in a simple NRE search. An asterisk (*) shows those attributes that are supported by all selected targets.

Authorize - This is a necessary action step to process an ILL to the point where it is sent out for fulfilling by a supplier. Authorization can be set up to be done manually or through an automated process within NRE.

Auto-mediate - This is the automatic process for checking a request for the correct adherence to guidelines. For a request to be automatically processed it can be checked for mandatory information filled in, copyright declaration, a user has not exceeded a requesting quota.

Ban - A stop on use, block on a user.

Barcode - In NRE, this can be a barcode number, or an alphabetic or alphanumeric identification code for a personal login.

Bureau - Libraries may be arranged in a hierarchy to limit the viewing and changing of records within the bureau to its members. It is for increased security to prevent access to a bureau's parameters, user records and requests.

Category - Circulation, checkout rule groupings. Patrons belong to a category to set their system use privileges.

Client - This term, along with Borrowers, covers all library ILL service users. A client may be an information service, library staff, paying customers or library patrons. If a Client is only going to search your NRE system and not place requests, there is no need to register the user. Clients, typically place ILL requests, but do not supply materials to fulfill an ILL request. They are requestors, but not responders.

Classmark - This is a British term for a title's root call number. It is usually assigned at the Bibliographic (title) level and supplemented by more specific shelf location information (shelfmark).

DocFind - This is a NRE Program that is used by auto-mediation processes for a request. The system administrator may set NRE up to automatically check requests once they are written to the database based on one or more of the following conditions.

Validate of service level the system will check whether the service level entered by use is valid for this user, location and service type.

Check Mandatory fields: NRE will check whether mandatory fields are present, fields such as title, author are pre-defined by the system administrator.

Check local catalog for this bibliographic item to see if item is held locally and then checks whether the user is allowed to borrow it.

Check remote catalog for bibliographic item checks the request against selected remote catalogs and updates the authorization status accordingly.

Automatic routing check filters the existing rota by the requester's user/locations criteria such as belonging to the same consortium or ability to handle the material type, service type or service level requested. If the rota is empty, the default un-located sequence is used.

User-status checks that the user's financial or quota limits are not exceeded.

Domain - Main database files such as title (bibliographic records), users, and authors.

Expiry Type - This stops the processing from one rota position to another by ending the life of a request. This fields works in combination with either Expiry Days or Need by Date, depending upon the type selected in this field. There are three choices:

1. Calc from Expiry Days: This choice takes today's date and adds the number of days in the Expiry Days field to set the number of days the request waits for a response from each location as a request processes through its rota.

2. Need by Date: This choice uses the date set in the Need By Date field to expire the request's life cycle. This does not limit the time the request transaction wait in each rota location.

3. No Expiry:This choice does not set a time limit for a request in a rota location.

Explain - Database (targets and databases) used with Z39.50 protocol. This database contains specific profiling details of all of the places the library location searches in for Inter-library loan authoritative records, such as bibliographic matches to a request.

Explain Proxy - A search interface that can change the default display of available access points to a record (monograph, serial, etc.) depending upon the databases selected for a search. If an attribute is not searchable by all of the databases chosen to search, the Explain proxy removes them to assure consistent retrieval of possible resource for the request. For example, if a database does not allow author phrase searches, that access point will either not be used or a known like index point will be substituted to assure an apples to apples like result. An asterisk (*) shows the attributes, which are supported by all of the targets selected.

GEDI - Group for Electronic Document Interchange (in header for Ariel documents)

Group/Member - This library relationship defines the inheritance of service definitions for more than one library location. A member of a group/member hierarchy may belong to more than one group. Consortia are in groups. Libraries may be in delivery groupings for routing materials.

GRS - General Record Structure use for Z39.50 target record syntax when another standard, such as MARC, is not used.

ISO - Within the NRE system, it is the ISO ILL 10161 protocol supporting inter-library loan requests among external locations. In NRE, ISO may use the e-mail format or an IP format to transmit messages. International Standards Organization.

Issue - Checkout, charge, or to circulate an item.

LASER - Local lending use for within a NRE system. It is an internal protocol supporting intra-library loans. Requests are processed the same way as in the ISO standard from external locations. The term originated from local loans limited within the London And South Eastern Region.

Location - Location is the term used for places that are both ILL suppliers and requestors. If a site only a requests material from your library, the role is essentially the same as that of a library patron and need not be registered as a Location. A location could be only a provider of ILL materials, such as an electronic document supplier. Both libraries and external suppliers are Locations records. All of the sites and organizations that you have inter-library loan relationships with should be entered into a Location record with your NRE system. The different ILL services and costs, which exist between your Location and the Locations with whom you use ILL, become part of your library's service details. The recording of locations allows it to be searched for ILL requests and to be placed on the rota list of probable suppliers.

Naming Authority - An authoritative organization, such as The Library of Congress or OCLC, that has assigned codes to identify specific libraries. Naming Authority and associated codes/symbols are used for requests coming in to your library's NRE system to identify internal libraries within your system. The incoming request will contain a code that needs to match up against codes in NRE to deliver the requests and messages to the appropriate location.

NCIP - NISO Circulation Interchange Protocol is being developed to improve the CIP protocol to better automate the interface between ILL and a library's local circulation system. Information about items borrowed or loaned through ILL can automatically be updated in the circulation system for tracking purposes. For example, a temporary ILL circulation record could be created to allow checkout to a patron without manual keying in of an ILL item record from another library.

Need by Date - This is the date up to which a patron is prepared to wait for the item. This determines the life of a request, not just the stops in rota locations (transactions). If this is not set as the Expiry Type, then it may have no mandatory behavior associated with it as a transaction in a rota location, but will for the life cycle of the request.

1. Number of Days: This choice uses the number to add to today's date in creating a Need By Date.

2. Preset Date: This choice uses a specific date to create a Need By Date.

This date may be editable by NRE Web users if the system administrator permits it. If it is not permitted, it displays as a blank if no date is created by default, or a date when created by defaults.

Non-loan return In-library use material or an article that is provided to a patron that is not to be returned.

Non-located - The requested material is not found in the local database. A lender source in a rota that is searched for the requested material when Z39.50 searches do not have any material matching the request. A limit on how many such sources can be added to a rota can be set up in ILL Setup –ILL User Loc Defaults – ILL Request Services Defaults – rota

Parent/Child - This is a location relationship where rules set by the Parent library apply to all of its child libraries. This differs from a Group/Membership relationship where the group members retain independent parameters. A child location can have only one parent location.

Processing Status - Custom status that can be set to mark requests for special local processing.

Profile - A profile defines how different locations work e.g. mandatory fields, fields to be ignored, error if fields present, mapping fields onto different fields mapping values on to different values, mapping multiple fields onto 1 field.

Rota - Order in which locations such as libraries are searched to locate items for a request. Various sort criteria can be set up for secondary routing sorts such as by cost, willingness to supply or the library's rating of loaner's quality of service. It is chiefly a British term for a rotation.

Service Level - In combination with Service Type, it filters selected sites from which to borrow material. Service Levels reflect the urgency of a request and where to search for it. For example, Normal Local Search or Priority – Extended Search.

Service Type - A standard action for a request, such as: Loan, Copy non-returnable, Check own stock. In combination with Service Level, it filters selected sites from which to borrow material. A Service Type specifies what is wanted such as "Translation Only" when seeking material originally written in another language.

Shelfmark - The material identifier such as a cutter number or more specific shelf location designation.

SIP - The Single Issue Protocol standard that provides links to circulation functionality. A new standard, NCIP, is being developed with fuller functionality.

Status - This is the current position in a request cycle that is set by a NRE action upon it. For example, a new request is set at an "Idle" status before the action of "authorized" is performed to change the request to a "pending" status and sent out to the first responder on the rota (lender list).

STQ - This is the Sub-transaction group qualifier that is part of the ILL Protocol Implementers Group (IPIG) standards.

SUTR - Simple Unstructured Text Routing Structure. For example, in abstracts, that cannot pass from one system to another in a computer meaningful way.

Targets - Z39.50 database servers either on a local computer or on remote sites that can be searched using the Z39.50 client software. These must be known places for which an Internet Protocol, port and database name are supplied and entered into the NRE system by the system administrator.

TG, TGQ, STQ - Transaction identifiers in requests. They are part of the ILL Protocol Implementers Group (IPIG) standards. They maintain transaction links and chains of information together as requests are processed.

Tick - Check mark, a green or yellow check mark on the NRE tool bar used for selecting an entry.

Ticket - A library card, a borrower card

Transitions - These are rules that control the flow of ILL Services. Only certain transition actions are appropriate from one status to another. For example, you would not use the Received action on an ILL Request that has a Returned status.

Un-located - This is a default location to send requests to when no matches for the request are found in the specified list of resources to search. A huge national database such as the British Library or OCLC may be used as an un-located default when materials cannot be found anywhere among usual target list.

User - There are several terms used to describe a NRE end user, such as library patron, borrower and client.

Wodiak - Term used to cover the programming tools used for the NRE Windows system. The Wodiak permissions are effective for the Windows product only. Other terms that refer to the same interface are Windows and World View.

Workspace - This is the Windows arrangement of searches and folders on the screen.

World View - This term refers to the Windows version of the OLIB integrated library system product of Fretwell-Downing Inc. Many of its features are replicated within NRE.
